Get the CallCRM app
For salespeople on Android 10 or newer. The app logs every work call and uploads call recordings so your admin can see your progress. Setup takes about five minutes; do it once.
Download for AndroidAlready have the app? Download and install the new version over it. Nothing to set up again.
1. Install the app
- Ask your admin to save your work number first. They do it on the dashboard under Team > Employees > Edit number. Or log in yourself and save it on My day. The app only lets you in with a number that is already on the team.
- Tap Download for Android above. When the download finishes, tap the CallCRM.apk notification (or open the Files app > Downloads and tap the file).
- If the phone says it is not allowed to install apps from this source: tap Settings, turn on Allow from this source, go back and tap Install.
- If Play Protect shows a warning, tap More details > Install anyway. The app is signed by your company, not downloaded from the Play Store.
- Tap Open.
2. Set up in the app
CallCRM walks you through these screens in this order. Here is what to tap on each one.
- Welcome. Read what is tracked (only calls on your work SIM) and tap Continue.
- Join your company. Enter the company code your admin shared and tap Next.
- Your details. Your name and your work phone number: the same number your admin saved. Tap Register this phone. If it says the number is not on your team yet, the number saved on the dashboard does not match; ask your admin to check it.
- Before you continue. Tap Agree and continue.
- Allow access. Tap Allow, then Allow on each Android pop-up: call logs, notifications and phone. All three must say Allowed. Tapped "Don't allow" by mistake? Go to Settings > Apps > CallCRM > Permissions and turn on Call logs, Phone and Notifications, then come back.
- Choose your work SIM. Tick the SIM you call leads from (only its calls are tracked) and tap Continue.
- Show the after-call card. Tap Allow display over other apps, turn the switch on for CallCRM, go back and tap Continue. This is what makes the outcome card pop up the moment a call ends. Brand-specific path in section 3.
- Keep tracking reliable. Three buttons open your phone's settings: battery, auto-start and "pause if unused". Section 3 shows exactly what to change for your phone. Tick I've done this under auto-start, then Continue.
- Call recordings. Tap Allow access to call recordings and Allow on the pop-up, then Continue. (Section 4 turns recording on in your Phone app.)
- Setting up. Wait for the leads to download and tap Start. You will see your Today screen.
3. Phone settings so no call is missed
Android phones close background apps to save battery. These settings keep CallCRM running. Pick your phone brand.
After-call card (display over other apps)
Lets the outcome card appear over the dialer when a call ends.
- 1.Settings > Apps > CallCRM > Appear on top
- 2.Turn the switch on, then go back to CallCRM.
Battery: unrestricted
Stops the phone from putting CallCRM to sleep between calls.
- 1.Settings > Apps > CallCRM > Battery
- 2.Choose Unrestricted.
- 3.Then Settings > Battery > Background usage limits > Never sleeping apps > add CallCRM.
- 4.On the same page, turn off "Put unused apps to sleep".
Auto-start
Samsung phones have no auto-start switch. Just tick "I've done this" in the app.
Also on this phone
Small switches that otherwise stop tracking after a few days.
- 1.Settings > Apps > CallCRM > turn off "Remove permissions if app is unused" (also called "Pause app activity if unused").
For every phone
- Keep the "CallCRM is tracking calls" notification. Do not turn it off or silence the app; tracking stops when it goes.
- Do not force-stop CallCRM or clear its storage. Swiping it away from recent apps is fine on most phones, but locking it there is safer.
- A switch greyed out with a "restricted setting" message? Go to Settings > Apps > CallCRM, tap the three dots (top right) > Allow restricted settings, then try again. This happens on Android 13 and newer because the app was not installed from the Play Store.
4. Turn on automatic call recording
CallCRM never records calls itself. It uploads the recordings your phone's own Phone app saves, so that app must record every call automatically.
Phone app on Samsung
Answered calls are then uploaded within a few minutes and reviewed.
- 1.Open the Phone app and tap the three dots (top right) > Settings.
- 2.Tap Record calls > turn on Auto record calls.
- 3.Set "Auto record calls for" to All calls.
Make one test call after turning it on. Then open CallCRM > More > Health: "Call recordings" should say On, access allowed. If it says access needed, tap Allow access to call recordings there.
5. Check that it works
Two minutes, once.
- Open CallCRM > More > Health. The banner at the top should be green: "Everything is working". Any line in red tells you which setting above is still missing.
- Make one real call from your work SIM. When it ends, the outcome card should pop up (or a "Log call" notification if you skipped the after-call setting). Pick a status and tap Save.
- Back on Today, the call shows under your stats within a minute and the sync pill says "Synced just now". Your admin sees the same call on the dashboard.
From now on, just make your calls. CallCRM syncs in the background; open it when you want to see your day or log an outcome.
Problems and fixes
- "This number is not on your company team yet"
- The number typed in the app must match the one saved on the dashboard. Your admin fixes it under Team > Employees > Edit number, or you save it on My day after logging in. Then tap Register this phone again.
- Calls do not reach the dashboard
- Open More > Health and tap Sync now. Check that Call log permission says Yes, Battery unrestricted says Yes and the tracking notification is visible. Section 3 has the fixes.
- The after-call card does not pop up
- Allow "display over other apps" (section 3). Until then, a "Log call" notification appears after each call; tapping it opens the same card.
- Recordings are missing
- Automatic recording must be on in the Phone app (section 4), and CallCRM needs access to recordings (More > Health). Unanswered calls never have a recording. If your company set Wi-Fi only, recordings wait for Wi-Fi.
- The app asks for the company code again
- Your phone was removed from the team or signed out. Register again with the company code and your work number; your old calls stay with the company.
- Changing phones
- Install CallCRM on the new phone and register with the same number. The old phone stops syncing automatically.
iPhones are not supported yet.
